How to view your payslip:
Step 1: Log into itrent using your existing UEL log in details
Step 2: Click on the Pay & Benefits tab at the top of the page

Step 3: Under Pay Date click on the card icon next to the pay date of the pay slip you wish to view
Step 4: You can print your payslip by selecting Print. You can also download as a PDF

You can also view your latest payslip by clicking on the quick link at the bottom of the iTrent home page.

You can view your payslip history, but your latest payslip will not be displayed correctly until the Payroll process is complete, and the payroll is finalised. This will typically be two or three days before the actual payment date. You should wait until the payroll is finalised before raising any queries with your payslip.

FAQs:
My holiday balance is incorrect:
Your holiday balance will need to be amended by the HR Systems team and will require authorisation from your line manager.

An email from your Line Manager stating your annual leave balance at a specific date, we will need to know your holiday balance at the date you request the amendment to hrsystems@uel.ac.uk.

Any pre-approved holiday in the future will need to be input by yourself into ESS for approval by your Line Manager.

I have approved carry over annual leave but it is not showing in my annual leave balance:
HR services require an email from your Line Manager confirming the carried over annual leave. It is important to remember that all carried over leave must be used by 28 February in accordance with the annual leave policy Conditions of Service for Support staff or Guidelines on the Application and Monitoring of Annual Leave. Any unused carried over annual leave will be lost.

My carry over has been removed from my balance:
Annual leave carried over will automatically drop off the balance on the 28 February in accordance with the annual leave policy Conditions of Service for Support staff or Guidelines on the Application and Monitoring of Annual Leave

I can’t seem to book annual leave on a day I normally work?:
Some part time staff with variable work patterns may not be able to book leave on a date they normally work. Where a work pattern is not stated in the system for part-time members of staff, the system defaults to spreading hours evenly across the five days (M-F).

I have tried to log on but have received an error message;
Please contact the IT service desk, stating the error and what browser you are using i.e. Internet explorer, Google, Chrome or Mozilla Firefox.

Please note for the School of Arts and Digital Industries (ADI) pilot, Employee Self Service (ESS) and People Manager (PM) was only accessible via Mozilla Firefox. Once the new UDE desktop has been rolled out, iTrent will work on any browser.

The screen is not displaying correctly:

How is my data kept secure?:
All personal information for staff will be held securely and confidentially in our HRMIS system iTrent in line with the Data Protection Act (1998). UEL will only process personal data in accordance with our registration under the Data Protection Act. Your direct line manager is able to view and report on contract information, salary, holiday entitlement, UEL job history, emergency contact information, any contact details you record against your record in Employee Self Service, sickness absence dates, number of days and reason. They cannot see your address or bank details or sensitive information.

I use specialist access software, does ESS work with this?:

I have moved to a new position or School/Service but Employee Self-service has not been updated:
Employee Self-service is an application of the HR and Payroll database iTrent, information is not always updated immediately especially during large transitional periods such as the creation of Academic Registry. The HR Services team will endeavour to update the information as soon as possible.

I have received an annual leave request from a member of staff I do not manage, what should I do?:
Please email hrsystems@uel.ac.uk copying in the employee that has made a request. The iTrent Admin team will then amend the assigned Line Manager. The employee that has requested the leave will then have to delete the request and then resubmit it to their correct Line Manager.

Password restrictions:
To sign in to ESS and People Manger you use your UEL username and password, however, there are restrictions.

If your UEL password contains either the £ or is 21 characters or more in length you will not be able to login, you will receive an Invalid Login message. If your password does contain a £ you will need to change it. All letters, numbers and the following symbols can be used in your password: !”#$%&'()*+,-./:;<=>?@[\]^_`{|}~

My Job title is incorrect:
If you think your job title is incorrect, please email HR systems team with details of what you believe your Job Title should be and which School or Service you work in. The iTrent Admin team will process your query.

I think my contractual hours are incorrect:
Are your contractual hours correct on your Current Job role? This is the total number of hours you are contracted to work per week. If you believe your hours are incorrect please contact your assigned HR Assistant Contact us – HR Services

My Reporting Manager is incorrect?:
Please request your line manager to email hrsystems@uel.ac.uk stating that they have Line Management approval for you. A Line Manager is essential for the annual leave authorisation.

My working pattern is incorrect:
All Part-time staff have been issued with a typical working pattern (weekly hours/5 working days). Please email your correct working pattern to the HR Systems, please Cc in your Line Manager.
