Create a Client Account :

If your business expects to register notices of security interest in the Registry on a regular basis, you will find it convenient to open a client account for it.

If, however, you expect to register a notice or request a certified search report only once or infrequently, you do not need to open a client account.

You may, instead, determine the fee by clicking the Fees button on the Welcome page, and make the payment to the Registry’s main office at the Companies House in Port Vila.

The Registry will give you a receipt with a number that you may enter when logging in to the Registry website to register a notice or request a certified search report. You will use the Non-Client login link to login with a payment receipt number.

Adding and Managing Account Users :
If your business becomes a client of the Registry, the account may have any number of individual authorized users (for example, managers, loan or credit officers, accountants, etc.).

At least one of those authorized users will be designated as a client security administrator, which means that this user will have additional rights beyond those of general users.

Those rights will include the right to add or delete authorized users, and to update information about the client account (for example, an address change).

The first user added on the account during account creation is assigned as the client security administrator by default. General users will have the right to register notices, search for notices and change their own passwords.

A client is responsible for the security practices of its users and for all fees charged for transactions by its users.

Client Account Statements :
The Registry will provide a monthly statement to each client on the Registry website, and will send an e-mail notification to the client that the statement is available.

The email notification will contain the statement as an attachment in PDF format. Only authorized users of the client account may view the statement. The client must pay the amount due within 30 days after the statement date.

If it fails to do so, the Registry will suspend the client’s right to charge fees to the account until the amount is paid. Any authorized user of the client account may view the client information, current balance and prior statements at any time.

May a client account have more than one security administrator?
Yes. A client can have as many security administrators as deemed necessary to administer it users and update information in the account.

It is a good idea to have at least two people with security administrator rights in case one of them is absent when a change has to be made, or, if one of them has his or her user name locked by the system, there is another person who can unlock the user name.

How often should user passwords by changed?
That is controlled by the client’s security policy, since the client is responsible for use of its client account. However, passwords should be changed whenever there is a chance that they have been compromised. It is recommended that users change their passwords at intervals of six months or less.

How can a user’s rights be restored if the user name is locked by the system due to too many unsuccessful attempts to log in?
The user should contact his or her client account security administrator, who can change the user’s status back to Active.
